A day in the shop

From the morning float to the nightly check, every figure agrees.

  1. 08:00

Till 1 opens with a float of 5,000, counted and signed for.

  2. 09:15

An online order comes in. The items are held and the customer gets a WhatsApp confirmation.

  3. 11:20

A sale split across M-Pesa and cash; the eTIMS receipt reaches the customer on WhatsApp.

  4. 14:00

Twelve pieces move to the second outlet, recorded on both sides.

  5. 16:00

Phronesis suggests this week's restock from your own sales, and you approve it in one go.

  6. 17:30

The cash-up is counted and matches the day's sales to the shilling.

  7. 23:00

The nightly check flags one stock figure that doesn't add up.

  8. Month end

Consignor statements are worked out, checked by two people and paid in a batch.

Eight things change for the owner.

Phronesis is set up around how your shop really runs, so the numbers you check at night are already right.

  1. 1

    Restocking that thinks ahead

Each week it suggests what to reorder from your own sales and the season, and you approve the order in one go.

  2. 2

One till, every way Kenyans pay

Cash, M-Pesa, card, gift cards and points, even in one sale, with M-Pesa matched automatically and the eTIMS receipt sent by WhatsApp.

  3. 3

Your online shop, from the same stock

Customers buy online from the stock in your shops, with delivery, collection and payment on delivery run from the same system.

  4. 4

    Customers you can keep

Accounts, loyalty points, gift cards and promotions that work at the till and online, with WhatsApp and web chat in one inbox.

  5. 5

Suppliers and consignors, managed end to end

Supplier records with KRA PINs, two-step receiving, a portal where suppliers see their own sales, and a month-end settlement pipeline.

  6. 6

    Stock taking made simple

Count by scanning, a shelf at a time or the whole shop, with a second person reviewing before stock changes.

  7. 7

    Roles kept separate

Cashiers, managers and the owner each see only their part, and discounts or refunds outside policy need a manager PIN.

  8. 8

Your own system, your own data

A dedicated instance with its own database, and a full export in open formats within five working days, free.

How we work

We study the shop before we set anything up.

  1. Before you sign

    We listen

A discovery call about your outlets and suppliers. If Phronesis is not the right fit, we say so.

  2. Month one

    We study your shop

Our researchers map how goods arrive, sell, get counted and settled, at no extra charge.

  3. Month two

We set it up and go live

Your outlets, tills, consignor terms, price lists and staff roles, configured to what we found.

  4. Within 14 days

    We move you over

Products, suppliers, consignor balances and customers come across in 14 days, or your advance is refunded in full.

  5. After go-live

    We stay

Each role is trained on its own daily work, and early refinements are included.

Set up in Phronesis, month two

Statements worked out at month end, transfers recorded on both sides, a manager PIN for discounts, and eTIMS receipts issued as you sell.

Owned, consignment or commission: every item knows whose it is.

Phronesis records each product against its supplier's terms, so every sale already knows what the supplier is owed.

  • Owned stock. Yours from the start, and the shop earns the whole sale.
  • Consignment with markup. The supplier's until it sells, and you earn your markup on their price.
  • Consignment with commission. The supplier's until it sells, and you earn your commission, plus space rent if you charge it.
How Phronesis treats each kind of supplier
Question Owned stock Consignment with markup Consignment with commission
Whose stock until it sells Yours The supplier's The supplier's
Who sets the shelf price You You add your markup to the supplier's price The supplier
What the shop earns The whole sale Your markup Your commission, plus space rent if you charge it
How the supplier is paid When you buy the stock The supplier's price for each piece sold, at settlement The sale less commission, VAT on commission and any withholding, at settlement

Suppliers see their own sales and statements in a portal, so the month-end phone calls stop. Space tenants get leases with expiry reminders.
